Winter Preparedness

Minimise the effects of winter on our network and your deliveries

Our commitment to you is that we will attempt all collections, deliveries and linehaul subject to not endangering the safety of our staff and contractors in the process.  Communication will be issued by the Customer Support Teams around any issues we are anticipating or have actually experienced.

Preparations at the depots

  • All depots have been issued with clearance equipment to maintain access into the DC
  • Contingency plans have been reviewed and are in place for any incident where a DC is in accessible
  • We have Fork lift truck plough attachments to maintain good access conditions in each depot
  • Staffing plans are in place to ensure we have the drivers where and when needed
  • All couriers have a supply of de-icer and lubricants to assist in releasing a frozen locker door
  • All drivers carry equipment to assist in maintaining road movement (snow shovels etc.)

Forward Stock locations

  • Staffing plans are in place to ensure we have the drivers where and when needed

Locker Network

  • Our maintenance team have been completing a proactive maintenance schedule, thus ensuring all our locker estate has received a winter readiness check.
  • Tips for helping engineers access lockers in winter conditions:
    • Stiff locks or doors can be sprayed with WD40 – GT85.
    • If access cards are not scanning, then a quick wipe of the scanner lens at the front of the locker may help.

Reminder on flights

  • We will not be able to hold the linehaul trunking for delayed flights.  All freight will be held at our main Coventry hub and dispatched through the network for delivery the following night.
  • Once we have handed over any outbound freight to our airport agents, this freight is in transit so we are unable to retrieve it due to security restrictions until  it reaches its destination.

Communication

  • ByBox will discuss/meet and plan daily during forecasted poor weather conditions to prepare for any areas that are subject to extreme weather warnings
  • ByBox receive updates and warning alerts from the Met Office on a daily basis
  • ByBox will issue an alert to all customers prior to 16.00 daily during periods of poor weather and expected poor weather
  • ByBox will communicate any late routes and failed deliveries as needed to any affected customers.

Cooperation from customers

  • We would very much appreciate your help by allowing earlier collection times as needed and requested, due to poor weather.
  • Our drivers are operating in the early hrs of the morning and the weather conditions at this time can be dramatically different to those later in the day. Every effort is taken to ensure all deliveries are made, however, there may be occasions when parts are failed due to the severity of the frozen locks, which may have thawed by the time your engineers are collecting.
  • We would also like to remind all customers that any engineers collecting from any of our depots must wear high viz jackets and face coverings.
